Getting Started with Inventory

Set up your inventory system with categories, units, suppliers, and warehouses.

Before creating products, set up these foundational elements:

Categories

Organize products into logical groups for easier management.

Step 1: Set Up Categories

Categories help organize your products for easier navigation and reporting.

  1. Navigate to Categories
    Go to Inventory > Categories.
  2. Click "Add Category"
    Create a new product category.
  3. Enter Category Details
    • Name: Category name (e.g., "Raw Materials")
    • Description: Brief description
    • Parent Category: For sub-categories (optional)
  4. Save
    Click "Save" to create the category.
Category Examples
  • Raw Materials (Produce, Meat, Dairy)
  • Beverages (Soft Drinks, Juices, Coffee)
  • Packaging (Cups, Bags, Containers)
  • Cleaning Supplies

Step 2: Configure Units of Measure

Units of Measure (UOM) define how products are tracked and counted.

Common Units

Unit Abbreviation Used For
Piece pc Individual items
Kilogram kg Weight-based items
Liter L Liquids
Case cs Bulk packaging
Box box Packaged items
  1. Navigate to Units of Measure
    Go to Inventory > Units of Measure.
  2. Review Existing Units
    Common units may already be set up. Add any missing ones.
  3. Add New Unit (if needed)
    Click "Add" and enter the unit name and abbreviation.

Unit Conversions

Set up conversions between units

Set up conversions to handle different purchase and sales units:

  • 1 Case = 24 Pieces
  • 1 Kilogram = 1000 Grams
  • 1 Carton = 12 Bottles

Navigate to Inventory > Unit Conversions to configure these relationships.

Step 3: Add Suppliers

Suppliers are vendors you purchase inventory from.

Enter supplier details to start purchasing
  1. Navigate to Suppliers
    Go to Inventory > Suppliers.
  2. Click "Add Supplier"
    Open the supplier creation form.
  3. Enter Supplier Information
    • Name: Company/supplier name
    • Contact Person: Primary contact
    • Phone: Contact number
    • Email: Email address
    • Address: Business address
  4. Save Supplier
    Click "Save" to add the supplier.

  • Link products to preferred suppliers
  • Track purchase history by supplier
  • Manage payment terms and credit limits

Step 4: Configure Warehouses

Warehouses represent physical locations where inventory is stored.

  1. Navigate to Warehouses
    Go to Inventory > Warehouses.
  2. Click "Add Warehouse"
    Create a new storage location.
  3. Enter Warehouse Details
    • Name: Warehouse identifier (e.g., "Main Store", "Back Stock")
    • Code: Short code for reference
    • Branch: Which branch this warehouse belongs to
    • Address: Physical location
  4. Save Warehouse
    Click "Save" to create the warehouse.
Warehouse Examples
  • Main Store: Primary inventory location
  • Back Stock: Reserve/overflow storage
  • Cold Storage: Temperature-controlled area
  • Kitchen: Point-of-use inventory
