Customer Management Guide

Create and manage customer profiles, addresses, and order history.

Why Manage Customers?

Customer profiles help you:

  • Marketing: Contact customers for promotions
Required for Delivery

Delivery orders require a customer profile with at least one delivery address. Takeout and dine-in orders can be created without a customer.

Creating a Customer

Creating a customer profile is quick and easy
  1. Navigate to Customers
    Go to POS > Customers from the navigation menu.
  2. Click "Add Customer" or "New Customer"
    Open the customer creation form.
  3. Enter Basic Information
    • First Name - Customer's first name (required)
    • Last Name - Customer's last name
    • Phone - Primary contact number (required for delivery)
    • Email - Email address for receipts and marketing
  4. Add Address (for Delivery)
    Click "Add Address" to enter a delivery address.
  5. Save Customer
    Click "Save" to create the customer profile.

Customer Information Fields

Field Required Description
First Name Yes Customer's first name
Last Name No Customer's last name
Phone Yes* Primary phone number (*required for delivery)
Email No For receipts and communications
Notes No Special notes (allergies, preferences, etc.)
Date of Birth No For birthday promotions

Managing Customer Addresses

Customers can have multiple delivery addresses (home, work, etc.).

Adding an Address

  1. Open Customer Profile
    Find and open the customer's profile.
  2. Click "Add Address"
    In the Addresses section, click to add a new address.
  3. Enter Address Details
    • Label: Name for this address (e.g., "Home", "Work")
    • Street Address: Full street address
    • Area/District: Neighborhood or district
    • City: City name
    • Building/Apartment: Building name, floor, apartment number
    • Delivery Instructions: Special directions for drivers
  4. Set as Default (Optional)
    Mark as default address for faster checkout.
  5. Save Address
    Click "Save" to add the address.
Delivery Instructions

Use the delivery instructions field for details like "Ring doorbell twice", "Leave at door", or "Call on arrival". This helps drivers deliver successfully.

Finding Customers

Quick Search

Use the search box on the Customers page to find customers by:

  • Name (first or last)
  • Phone number
  • Email address

During Order Taking

When creating a delivery order, you can search for customers directly from the order screen:

Search and select customers right from the order screen
  1. Select Delivery Order Type
    Choose "Delivery" when starting a new order.
  2. Search for Customer
    Type the customer's name or phone number.
  3. Select from Results
    Click on the matching customer.
  4. Or Add New Customer
    If not found, click "Add New Customer" to create a profile quickly.

Viewing Order History

Each customer profile shows their complete order history.

  1. Open Customer Profile
    Find and select the customer.
  2. View Orders Tab
    Click on "Orders" or "Order History" tab.
  3. Browse Orders
    See all past orders with dates, amounts, and status.
  4. Click to View Details
    Click any order to see full details and items.
Reorder Feature

From the order history, you may be able to "Reorder" a previous order, quickly creating a new order with the same items.

Customer Notes

Use customer notes to record important information:

Add notes about allergies, preferences, and special requirements
  • Allergies: "Allergic to peanuts - NO NUTS"
  • Preferences: "Prefers extra spicy"
  • Special Instructions: "Always add extra napkins"
  • Service Notes: "VIP customer" or "Requires manager approval for discounts"
Allergy Alerts

Always check customer notes for allergy information before processing orders. This is critical for customer safety.
